SovrinTech ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or engage our services. Please read this carefully. If you disagree with its terms, please discontinue use of our site.
1. Information We Collect
Information You Provide
We collect information you voluntarily provide when you:
- Fill out our contact form (name, email, project details)
- Engage us for services (billing information, business details)
- Communicate with us via email or other channels
- Use a client portal, request support, upload files, sign a document, or communicate by phone or text
Business clients may provide information about their personnel, customers, or other contacts. The client is responsible for its instructions and permissions for that information. When we handle personal information solely to provide a contracted service for a business client, the client generally determines the purpose of that processing and the applicable Service Agreement controls our instructions.
Information Collected Automatically
When you visit our website, we may automatically collect:
- IP address and general location data
- Browser type and operating system
- Pages visited and time spent on site
- Referring URLs
- Device identifiers
2. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and fulfill service requests
- Process payments and manage client accounts
- Improve and optimize our website and services
- Send service-related communications
- Comply with legal obligations
- Protect against fraudulent or unlawful activity
- Operate, secure, troubleshoot, and audit our systems
- Use automation or AI-assisted tools to route work, summarize records, draft content, or provide a feature requested by a client
We do not sell, rent, or trade your personal information to third parties for their marketing purposes. No mobile information — including phone numbers you provide for text messaging — is sold or shared with third parties or affiliates for their marketing or promotional purposes.
3. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to improve your browsing experience. You can control cookie preferences through our cookie banner or your browser settings. For more details, see our Cookie Policy.
4. Sharing Your Information
We may share your information with:
- Service providers who assist in operating our website and delivering services (e.g., hosting, payment processors, analytics)
- Legal authorities when required by law, court order, or to protect our legal rights
- Business transfers in connection with a merger, acquisition, or sale of assets
These providers may include infrastructure and hosting providers, payment processors, email and communications providers, analytics providers where enabled, security vendors, and AI model or automation providers selected for a service. We require providers handling personal information on our behalf to process it for the contracted purpose and apply appropriate protections. A Service Agreement may impose additional provider, location, or data-handling restrictions.
AI-assisted processing is not a substitute for a client's professional judgment. Whether information is sent to an external model, processed in a client-controlled environment, or excluded from AI processing depends on the configured service and written agreement. Clients should not submit regulated or specially restricted information unless that use has been expressly agreed.
5. Data Retention
Retention depends on the record and service. We retain account, contract, payment, consent, security, and audit records for as long as reasonably needed to operate the service, document transactions and permissions, resolve disputes, and meet legal obligations. Project content and backups follow the applicable Service Agreement and operational backup cycle. When information is no longer required, we delete, de-identify, or securely dispose of it through our normal systems; deletion from backups may occur on the backup rotation rather than immediately.
6. Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your personal information
- Opt out of certain data processing activities
- Data portability
Rights and response periods depend on where you live, the nature of the information, and whether SovrinTech or a business client controls the processing. To submit a request, contact support@sovrintech.com. We may need to verify your identity and may direct a request to the relevant business client when we process the information on its behalf.
Your privacy choices & opt-out.We do not sell your personal information. To change whether we use optional analytics, use the "Your Privacy Choices" link in the footer of any page. If your browser sends a Global Privacy Control (GPC) signal, we automatically honor it as an opt-out of any sharing of personal information — consistent with the California Privacy Rights Act — with no further action needed from you.
7. Security
We use technical and organizational safeguards designed for the nature of the information and service. No transmission or storage system is completely secure, and this policy does not promise that incidents will never occur. Security commitments specific to a paid service belong in the applicable Service Agreement or security schedule.
8. Third-Party Links
Our website may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies independently.
9. Children's Privacy
Our services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
10. Changes to This Policy
We may update this Privacy Policy as our systems and services change. We will post the revised date and, where appropriate, provide additional notice of a material change. This policy describes our practices; it does not amend a signed Service Agreement merely because this page changes.
11. SMS / Text Messaging
If you provide your mobile number and expressly opt in — for example, by checking the text-message consent box on our consult form or replying Y to our confirmation text — you agree to receive text messages from SovrinTech about your inquiry, appointments, and project. Consent to receive texts is not a condition of purchasing any goods or services.
- Message frequency varies based on your interaction with us.
- Message and data rates may apply, per your mobile carrier plan.
- Reply STOP at any time to unsubscribe; you will receive one confirmation and then no further texts. Reply START to opt back in.
- Reply HELP for help, or email support@sovrintech.com.
We do not sell or share your mobile phone number or SMS opt-in information with third parties or affiliates for their marketing or promotional purposes. We may provide that information to communications providers that transmit messages for us, and retain consent and opt-out records to operate and document the program. For the full program terms, see our SMS Terms & Conditions.
